THE POSITION


Reporting to the Chief Human Resources Officer or designee, the incumbent will partner with other members of the HR team to ensure the smooth running of HR administrative functions to meet all business needs and goals. Participates in the daily functions of the HR department, including interviewing, hiring, and onboarding staff; administering pay, benefits and leave; workplace safety, and enforcing company policies and practices.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: (This list may not include all of the duties assigned.)

  • Pursues self-development and effective relationships with others by sharing resources, information, and knowledge with coworkers and customers; listening, responding to, and seeking performance feedback; acknowledging strengths and weaknesses; assessing and responding to the needs of others; and adapting to and learning from change, difficulties, and feedback.
  • Assists in the implementation of organizational change efforts by identifying requirements; assessing information to identify solutions to obstacles; providing input in the creation or revision of change management plans; developing communications; and monitoring ongoing impact of organizational changes or efforts on employees.
  • Assist in the assemblage of orientation packets
  • Participates in the conduct of orientation to new employees and prepares onboarding materials for new hires to ensure a positive experience on first day of work and beyond.
  • Works in close cooperation with payroll department to ensure accuracy of pay as well as well as information is accurate for accounting purposes.
  • Ensures employee personnel files are in compliance with legal and grant requirements.
  • Update the HRIS implementing employment changes and preparing all Action Forms for such changes; ensuring timeliness and accuracy of entries.
  • Reconcile monthly benefit bills; process benefits reimbursement expense reports and prepare reports of expenses; process vendor invoices for payment
  • Assist in organizing and ensuring success of employee activities; monthly staff meetings, and year-end celebration
  • May assist with GL/Payroll Suspense monthly reconciliation for Finance
  • Assists with HR investigation efforts by collecting data; identifying misalignment with desired compliance actions; assisting with interviews; determining action steps for resolution; creating appropriate documentation; and providing input on corrective action plans.
  • Assist in the coordination of wellness program activities, rewards, communications
  • Assist with special projects (tracking, training, etc.)
  • Assist in open enrollment functions and serve as resource for HR response to benefits questions
  • May assist with COBRA notifications and track payments
  • Assist in tracking of position descriptions updates
  • Serve on the Safety Committee
  • Works with Compliance or designee to ensure employees are on track for required trainings and maintains accurate records.
  • Assists Compliance of designee to ensure employees are on track for annual vaccinations and maintains accurate records.
  • Maintains complete knowledge and may administer benefit plans provided by organization including medical, dental, vision, 401(k) plan, EAP, FSA, life insurance and administrates enrollment for all new hires.
  • Maintains knowledge of federal, state, and local employment laws and regulations, and recommends best practices; reviews policies and practices to maintain compliance.
  • Perform other duties as assigned.


QUALIFICATIONS:

  • Bachelor degree in Human Resources, Business, or other related field (experience may be substituted on a year-to-year basis)
  • Professional certification (HRCI or SHRM) highly desired.
  • Experience with state and federal labor/employment law
  • Workforce training and development
  • Employee Benefit development and administration
  • Must have excellent communication, interpersonal and time-management skills
  • Must have proficiency with basic computer programs
  • Experience in strategic planning
  • In-depth knowledge of all HR functions
  • Hands-on experience with HR software
  • Effective communication and problem-solving skills
  • Ability to work effectively with men and transgender women of diverse races, ethnicities, ages, and sexual orientation in a multicultural environment.


COMPANY REQUIREMENTS:

  • Must be able to pass a pre-employment background check to include a 7-year criminal, 10-year SSN & employer history reference check.
  • Excellent interpersonal skills.
  • Must take yearly flu shot or wear flu mask during flu season for patient facing positions and test for tuberculosis as required by the Centers for Disease Control and Prevention.

LANGUAGE SKILLS:

Must be able to read, write and speak the English language fluently. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Must have the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public in person.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as dollar totals, monetary conversions, discounts, interest, fractions, decimals, percentages, area, volume and drug calculators.


REASONING ABILITY:

Ability to solve technical and practical problems and deal with a variety of intangibles in situations where only limited communication, support, information and access exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS:

Must be have good computer skills and be proficient in the use of systems to complete correspondence, documents, spreadsheets and presentations, such as Microsoft Outlook and Office; Word, Excel and PowerPoint, Adobe Acrobat.
