The Accounts Receivable Clerk & Coordinator will report to the Department Head and Controller. The job duties include but are not limited to:

• Maintain customer database with current information (Extended Warranties, equipment information, etc.).
• Maintain the Daily Schedule, dispatch technicians and coordinate on-site scheduling with the customer.
• Ensure Service Tickets are being completed on-site daily.
• Work with Department Head to respond to all overnight messages.
• Process and track Purchase Orders.
• Application and tracking of permits.
• Maintain the Maintenance Agreements, including pricing, scheduling, and database information.
• Provide clear and concise communications with department managers, employees and company customers, including keeping customers up-to-date on company scheduling and requested lead-times.
• Prepare, verify, and process invoices for services rendered.
• Collect on accounts by sending invoice reminders and communication with customers via phone, email, fax, or mail.
• Assist with collections by examining customer payment plans and payment history.
• Knowledge and experience addressing sales and use tax.
• Other duties and responsibilities as required to ensure smooth operations.

Requirements:

• US Work Authorization
• Associate’s Degree in accounting, finance, or related field
• 2–4 years accounts receivable experience
• Knowledge of general accounting principles
• Ability to calculate, post and manage accounting figures and financial records
• General math skills
• Self-supervising – work by direction of the Department Head and Controller
• Proficiency in QuickBooks Enterprise Software
• High level computer skills – Microsoft Office applications (Outlook, Excel & Word)
• Ability to pass background and drug tests

• Service Titan experience a plus
• Experience with permitting process, collections and filing small claims a plus
• Customer service skills

Compensation:

• Salary: $42,000–$48,000 (Based on qualifications & work experience)
